Cancellation Policy

This Cancellation & No-Show Policy forms an integral part of the House Rules and Terms & Conditions of Riverside Hotel Dominica. It applies to all reservations, whether made directly with the hotel or through third-party booking platforms (OTAs), unless otherwise stated in the confirmed reservation.

By confirming a reservation, the guest acknowledges that they have read, understood, and agreed to this policy, together with the House Rules and Terms & Conditions.


1. CANCELLATION POLICY

Please carefully read our cancellation policy. Exceptions are rarely granted. Our front desk team is instructed to apply this policy consistently to avoid misunderstandings.

Standard Cancellation Terms

More than 30 days before arrival: The total reservation amount will be refunded.

Less than 30 days before arrival: The 30% prepayment is non-refundable.


Cancellation terms are based on the confirmed arrival date and reflect inventory allocation and operational costs.


2. EARLY DEPARTURE

If a guest arrives and subsequently decides to leave early:

Nights not spent more than 24 hours after written cancellation notice is received may be refunded at 50% of the nightly rate

Refunds are subject to management review and approval


Early departures are otherwise treated as a cancellation of the unused portion of the stay.


3. NO-SHOW POLICY

A reservation is considered a no-show if the guest fails to arrive on the scheduled arrival date without prior cancellation or notification.

In the event of a no-show:

The total reservation amount will be charged

The reservation becomes non-refundable

Remaining nights may be cancelled and released for resale


4. ACCEPTED CANCELLATION METHOD (MANDATORY)

There is only one valid way to cancel a reservation:

The guest must submit a written cancellation request by email

The email must clearly state the reservation number

Cancellation requests must be sent to: frontdesk@riversidehotelpicard.com


All cancellations are confirmed by email once processed. A cancellation is not valid unless a confirmation email has been issued by the hotel.


5. PAYMENT & RESERVATION GUARANTEE

The total price of the reservation may be charged after booking, depending on the selected rate plan.

Reservations are guaranteed until the scheduled arrival date only.

If the guest does not arrive on the arrival date, the reservation may no longer be guaranteed and the accommodation may be reassigned.


Riverside Hotel Dominica reserves the right to cancel a reservation when required. Any such cancellation will be confirmed in writing by email.


6. THIRD-PARTY BOOKINGS (OTAs)

Reservations made through third-party booking platforms (including but not limited to Booking.com, Expedia, and similar channels) are additionally subject to the terms and conditions of the respective platform.

Where a conflict exists between OTA policies and hotel policies:

The more restrictive policy may apply

Refunds and modifications must be processed in accordance with the applicable booking channel rules


The hotel reserves the right to refer guests to the original booking platform for cancellation or refund requests.


7. PAYMENTS & REFUNDS

Where refunds are applicable under the confirmed reservation terms:

Refunds will be processed only to the original method of payment

Processing timelines are subject to banking and payment provider procedures

Cash refunds are not guaranteed


8. FORCE MAJEURE

Riverside Hotel Dominica shall not be held liable for cancellations, delays, or interruptions caused by events beyond its reasonable control, including but not limited to natural disasters, severe weather, government actions, transportation disruptions, or utility or infrastructure failures.

In such cases, refunds or credits may be offered solely at the discretion of management.


9. MANAGEMENT DISCRETION

The hotel reserves the right to grant case-by-case exceptions to this policy at management’s discretion.

Any exception:

Is not guaranteed

Is non-transferable

Does not establish precedent

Does not amend or override the House Rules or Terms & Conditions


10. GOVERNING LAW

This policy, together with the House Rules and Terms & Conditions, is governed by and construed in accordance with the laws of the Commonwealth of Dominica.

Failure to read or understand this policy does not exempt the guest from its application.
